Volunteer Role Descriptions

Scorekeeper / Timekeeper (Minor Officials)

  • This volunteer is part of the game's officiating crew and must remain impartial and professional.

  • Scorekeeper: Completes the official game sheet, accurately recording scores, fouls, and relevant stats.

  • Timekeeper: Operates the game clock - starts, stops, and resets as directed by referees.

  • Take direction only from the referees. No one else (coaches, spectators, players) should interfere or distract the Minor Officials.

  • Display neutrality - no cheering or showing bias while performing these duties.

  • If a Minor Official is removed during a game, the team must supply a replacement or risk forfeiting.

  • Each team is required to provide one volunteer to complete these duties at the score table.

Spectator Mediator and Clean-Up Monitor (One parent per game)
This single volunteer handles both spectator oversight and gym cleanup responsibilities. This role is required by EYBA for every game.

Spectator Mediator duties:

  • Must be an adult (18+) and not part of the coaching staff or team management.

  • Wears a visible lanyard and sits with the team's spectators.

  • Introduces themselves to the referees about 5 minutes before the game starts.

  • Monitors spectator and bench conduct; intervenes calmly in potential conflict situations.

  • Reports serious incidents to the zone director with details (date, time, teams, description).

  • Note: If a team fails to supply a Spectator Mediator, it can result in a default (forfeit).

Clean-Up Monitor duties:

  • Arrives ~15 minutes early (before the prior game ends) to position themselves and begin oversight.

  • Ensures rules are followed: no outdoor shoes on gym floor; only water permitted; no other food or drinks.

  • After the game: collects trash, clears benches, ensures all equipment is returned and the facility is tidy.

  • The Clean-Up Monitor may also be the same person doing scorekeeping/timekeeping, team manager, or a coach - as long as they are an adult.

  • Repeated failures to comply may result in warnings, game forfeits, or ineligibility for playoffs.

Final Notes & Expectations

  • The team manager will confirm and assign volunteer roles before each game.
  • Please review your role's responsibilities in advance and arrive early.
  • Your participation is crucial. By filling these roles, you help SLAM and EYBA maintain a well-organized, respectful, and safe environment for players, coaches, officials, and spectators.
